After our initial discussion, we sent over our client a clear service agreement that highlights the scope of work, our fees, and communications expectations. At the same time, we’ll also provide a HIPAA-compliant Business Associate Agreement (BAA) to ensure that data of your patient is secure with us and all compliance boxes are checked from day one.

3. Secure System Access Setup

Once our contracts are signed with the client, we collect secure login to your EMR, clearinghouse, and any type of relevant payer or provider portals. We then directly work with your staff or the IT team to ensure this procedure is done safely and efficiently, with minimal disruption to your operations. 

4. Billing Review & A/R Audit

Our team fully performs a detailed review on your current billing data, that includes aging reports, outstanding claims, coding habits, and any denial trends. All of this gives us a clear picture of your financial health and helps us identify any immediate fixes or opportunities to recover lost revenue.

 5. Workflow Alignment & Team Training

In the next step we’ll meet with your front desk staff, admin, or your providers to walk them through your current workflow and align it with our billing procedure. We go over how to interact with our billing team, insurance verification procedures, and documentation advice. Our objective is to make billing simple and cooperative for your whole team.

6. Go-Live & First Claim Submissions

Once access to your system is completed and workflow starts flowing and is well aligned, we will go live officially. We start submitting new claims, cleaning up any outstanding A/R, and tracking the progress closely. You’ll definitely receive your very first report within a span of 2-4 weeks, giving you a very clear picture of collections, denials, and any resolved issues.

7. Ongoing Support & Transparent Reporting

We continue to be actively involved after launch. Regular updates on performance indicators, collections, denials, and follow-ups will be sent to you.
